AFTER SCHOOL CLASSES

We still need supervisors from 3:20 - 3:38 PM on Tuesdays (full), Wednesdays & Thursdays for After School classes. Fill out this form to sign up!

Classes are PTO-sponsored after school enrichment courses and are offered in sessions throughout the year. They fill on a first come, first serve basis (some fill in minutes). Email arobel@madison.k12.wi.us for scholarships. See the Policies/FAQ below for additional information.​​​

ARE SCHOLARSHIPS AVAILABLE?

Yes, full and partial scholarships are available. Please reach out to our VHE Social Worker, Amy Robel, at arobel@madison.k12.wi.us before registration opens. If classes are full, additional students cannot be added.

FAQ

HOW DO I REGISTER A STUDENT?

Use Jackrabbit to register and pay for classes. You will first need to create an account and add children to your account. Each registration time, be sure to make any necessary changes such as pick up, contact and health info. Once your Family Account is created, you may visit the Parent Portal at any time to view information and register for classes, or view your class history and online payments. Registration opens at noon and some classes fill within minutes. If a class is full, you may add your student to the waitlist. If a spot opens, you will be notified.

WHAT IF I AM UNABLE TO REGISTER ONLINE?

If you cannot register or pay online, contact afterschoolclassesATvanhisepto.org (replace AT with @) to get assistance with registering offline. Note: the Van Hise School office cannot register students or move classes.

HOW DO I PAY FOR CLASS?

Payment is due at the time of registration. Online payment is highly preferred. If you wish to pay by cash or check, enter CASHCHECK in the coupon code area, then send payment to school with your student via backpack mail or to the front office. Registration will not be considered final until payment is received. If a student is waitlisted, you may make payment once you are notified that space becomes available in the class. New registrations will not be accepted if there is an outstanding payment due from a previous session.

CAN I STILL REGISTER AFTER THE DEADLINE?

If there is room in a class, you may still register after the deadline. Note that this program is run completely by volunteers and late registrations create additional volunteer time to process so please register within the registration window. 

I REGISTERED MY STUDENT/S. WHAT HAPPENS NEXT?

You will receive a confirmation email once registration is submitted. A few days before the the session starts, you will receive another email with additional details and instructions including class location, snacks/allergies, teacher contact and other important details. PLEASE READ THIS EMAIL CAREFULLY.

CAN I REGISTER MORE THAN ONE CHILD AT THE SAME TIME?

Once you have created and logged into your family account, you may register for multiple children. Register each child for each class and add them to your shopping cart. Then pay for them all at once when you checkout. For each student, we need a variety of unique information - grade, teacher, allergies, dismissal instructions.

MY STUDENT PARTICIPATES IN WISCONSIN YOUTH COMPANY AFTER SCHOOL PROGRAM.  CAN THEY ALSO TAKE AFTER SCHOOL CLASSES?

Yes! Students enrolled in the WI Youth Company (WYC) After School Program may take PTO sponsored After School Classes. Once you enroll your student in an After School Class, submit a signed release authorization form to WYC prior to the first class (need a new one for every session, even if in the same school year) or the student will not be allowed to attend. Forms are available via DocuSign and can be submitted online. On the day of the After School Class, students should report to WYC first; they will then be released to the After School Class(es) in which they are enrolled. After class, students will be returned to WYC or released to their parent/guardian, as indicated on the registration form.

WHAT HAPPENS IF MY STUDENT IS ABSENT FROM SCHOOL OR NEEDS TO MISS CLASS FOR ANOTHER REASON?

Please notify the After School Class teacher AND afterschoolclassesATvanhisepto.org (replace At with @), in addition to the normal school notification procedures. Refunds are not issued for missed classes. You can also create an Absence in Jackrabbit.

DO AFTER SCHOOL CLASSES MEET ON EARLY RELEASE DAYS OR NO SCHOOL DAYS?

After School Classes will NOT meet on days the school is closed (due to holidays or extreme weather) or on any early dismissal days other than Mondays.

CANCELLATION POLICY

A week before classes start, there are no refunds for any reason. If your child will be sick/absent from school, contact the class instructor and afterschoolclasses@vanhisepto.org as soon as possible. No refunds are given for absences. 

 

An after school class may be cancelled for the following reasons: If the class does not meet the minimum enrollment or there is not a supervisor for the class, the class will be cancelled and enrolled students will be notified, refunded and eligible to register for another open class. If an instructor becomes ill, we will attempt to find a substitute teacher. If that is not possible, we will contact parents/guardians as early as possible. Please ensure that we have up-to-date contact information. If MMSD closes due to weather or any other reason, after school classes will be cancelled and refunds are not issued. 

LATE PICK UP POLICY

It is the Authorized Pick Up Person’s responsibility to promptly pick up students immediately at the end of class. Please respect the commitments of our instructors and arrive promptly. If you will be more than a few minutes late, make arrangements with another authorized pick up adult. Repeated late pick-ups may result in your child’s dismissal from the current class session and/or future sessions. Refunds will not be issued in the event of dismissal due to late pick-up.

MEDICAL EMERGENCIES/MEDICATION POLICY

During after school classes there is no nurse on duty at the school and the office is closed. 

Instructors do not carry or administer medications. If your child needs to take a medication during the class (e.g., severe allergy, etc.) and can’t self-administer the medication, you must contact an After School

Coordinator to discuss options within 3 days of the class starting.

 

In the event of a medical emergency during the Program where I or the emergency contact listed

below cannot be reached promptly, I authorize Program staff to seek emergency medical care for the

Student, including transportation to a medical facility, at my expense. I have disclosed below any

medical conditions, allergies, or medications relevant to the Student’s safe participation in the

Program.

WHY NO MONDAY CLASSES FALL 2026?

The majority of VHE staff are under contract until 3:38pm and unable to teach Monday. Our past Monday instructiors are unable to teach this fall/year. If you know of a business or instructor who could teach winter/spring 2027, please contact afterschoolclassesATvanhisepto.org (replace AT with @).

WHY IS REGISTRATION DURING A WEEKDAY AT NOON?

The registration day of the week and time coincides with when our school social worker is at Van Hise and able to help families registering with scholarships. Though some classes fill up right away, many are open during the registration window which is at least 5 days.
